Appointment Creation

Customer related appointments for works can be generated and recorded, as reactive/one off call outs, or planned preventative maintenance.

Job Scheduling

All Jobs can be scheduled for immediate action or future dated attendance. If Jobs are repeat works a schedule can be generated with recurrence pattern and preferred dates/time-frame for works to be carried out.

Call Management

Individual call outs can be assigned to one or multiple Engineers or Subcontractors, with any work in progress recorded. Once completed these can be reviewed by head office admin staff, recorded as approved for invoicing. Job completion reports and related document templates, as well as risk assessment forms.

Staff Calendars

The Outlook Calendar is divided into columns representing each Engineer with details and location of Call outs. The expected Call out timeframe is shown as appointment span on Calendar. Calendar reports can be exported and printed.

Sub Contractor Calendars

The Outlook Calendar is divided into columns representing each Subcontractor with details and location of Call outs. The expected Call out timeframe is shown as appointment span on Calendar. Calendar reports can be exported and printed.

Google & Outlook Mail Integration

The system integrates with both Google and Outlook Mail applications. Email subject lines and email body text can be tailored to suit each client requirement. Any file attachments can be given customised names.

Job Budget Analysis

Each Job is anlaysed against original quote, with live updates against spend on labour costs, overheads, vehicle, subcontractor, materials, equipment, expenses, as well as comparison to customer agreed rates for invoice preparation.

Job Reports

Job completion reports can be prepared from template files and sent to customers directly. As Engineers and Subcontractors complete Call outs on Site, the details input on mobile app or webpage are automatically populated to Job reports and linked to Customer projects files.

Jobs Dashboard

The main Jobs dashboard displays list of all Jobs on the database and can be filtered by Date range, Engineer or Subcontractor assigned, Call out status, any Work in progress, Invoice status, Job number, Quote number, Purchase Order number, whether the Job is Reactive or Planned Preventative works, driver Route, Job type or status.

Jobs to Invoice Conversion

Once completed Job details can be transferred to Invoice template, with customer agreed rates automatically loaded. Invoices can be printed or emailed direct to customer. Invoices can be posted direct to accounts package.

Jobs Schedule to Mobile APP

Once assigned a Job schedule can be transmitted to Engineers mobile app and made available through webpage option. Engineers can log in to view details of planned works, accessing Customer location details.

Engineer Job Status

Engineers can provide live updates of their Job status, from enroute to onsite and works completed. Throughout the day tasks can be added to the schedule.

Job Time Sheets

Full time sheets are generated whether the mobile app or webpage is used for Job completion by Engineers.

Risk Assessment Forms

Engineers can complete Risk Assessment forms through the mobile app or webpage while onsite. The Risk Assessment forms can then be emailed to Customers for compliance.

Integrated SMS

Text messaging integration is available to send Customers updates on Job status.

Real Time Updates

The system will report live on Engineers and Subcontractors updates from each Call out, for status of enroute, onsite, risk assessments, expenses, materials and equipment used, photos uploaded, templates completed, hours spent onsite.
